How to Vet a Chinese Bearing Supplier Before a Bulk Order

The documents to request, the technical questions that expose a reseller, and the trial-order protocol that limits your downside before you wire a deposit.

Sourcing bearings from China is not risky because Chinese bearings are bad. It is risky because the market is crowded with intermediaries who can quote any model number without understanding a single specification behind it, and because most first orders are placed on the strength of a price list and a friendly chat.

Vetting is not about finding a supplier who says yes to everything. It is about finding one who asks you the right questions before quoting, tells you what they cannot do, and can prove what they claim. This guide is the checklist to run before the deposit leaves your account.

The practical answer in 60 seconds:

Establish what kind of company you are actually talking to. Ask for the business licence, the producing plant's quality management certification with certificate number and scope, material certificates, and a sample inspection report. Ask a handful of technical questions that a reseller cannot answer. Place a small trial order and measure what arrives. Structure payment so that your exposure is limited until goods are inspected. Put every critical specification in writing before production starts.

A supplier who passes all six steps is not guaranteed to be perfect. But you will have removed the failure modes that cause most first-order disasters.

1. Know which of the three supplier types you are talking to:

Almost every bearing supplier in China is one of three things, and each has different capabilities and different honest limits.

A manufacturing plant. Owns production. Can control heat treatment, geometry, clearance and assembly directly. Usually strongest on the models it actually produces and weakest on everything outside its own range, where it becomes a reseller like anyone else. Holds its own quality management certification for its own production scope.

A trading company. Buys from plants and sells to you. This is not inherently negative — a good trading company aggregates models across plants, handles export documentation properly, and is far easier to communicate with than a factory sales desk. The risk is a trading company with no technical depth that simply forwards your order to whichever plant quoted lowest that week.

An export and quality-control partner. Coordinates production across specialist plants and takes responsibility for inspection before shipment. The value is in specification control and pre-shipment verification rather than in owning machinery.

FULI is the third type, and states it plainly: FULI Machinery (Shandong) Limited Company is an export and quality-control company, not a bearing factory, and does not hold a manufacturing certification of its own. Production is coordinated through specialist bearing manufacturing resources in Yandian, Linqing, where the producing plant operates an ISO 9001:2015 quality management system — certificate number and scope available on request.

That distinction matters when you vet anyone, including us. A supplier who blurs it — showing you a factory video while operating as a trading desk, or presenting a partner plant's certificate as their own — has already told you something important about how they will handle a quality dispute.

2. The documents to request — and what each one does not prove:

Request all of these before a bulk order. Equally important, understand the limits of each document, because a folder of certificates is not the same thing as quality control.

Business licence with the unified social credit code. Proves the company legally exists, when it was founded, and what it is registered to do. Check that the name on the licence matches the name on the proforma invoice and the bank account. A mismatch between the contract party and the beneficiary account is one of the oldest problems in trade and is worth resolving before payment, not after.

The producing plant's ISO 9001 certificate. Ask for the certificate number and the scope, then verify the number with the issuing body. ISO 9001 certifies that a documented quality management system exists — it does not certify that any individual bearing meets your specification. Treat it as a hygiene check, not a guarantee.

Material certificate for the steel. Confirms the chrome steel grade — GCr15, equivalent to AISI 52100 and 100Cr6 — for the batch in question. Ask whether the certificate is traceable to your production run or is a generic sample.

Per-batch inspection report. This is the most useful document of all, and the one that separates real quality control from a sales promise. It should record what was measured, on how many pieces, against what tolerance, with results — dimensional accuracy, rotation smoothness, grease presence, rust condition. A report with no measured values and no sample size is decoration.

Certificate of origin and preferential documents. A CCPIT certificate of origin is standard on export shipments, with an FTA Form certificate of origin where the destination qualifies for preferential treatment. This one is worth real money at customs — confirm before shipment which form your destination requires, because obtaining it retroactively is difficult.

Photographs and video that you specify. Not the supplier's marketing reel. Ask for images of your actual cartons, your actual markings, and the inspection in progress on your batch.

3. Eight technical questions that expose a reseller who does not understand bearings:

You do not need to be an engineer to run this test. You need answers that are specific, and you need to notice when they are not.

1. Decode this bearing number for me. Ask what each digit of a model such as 6205-2RS C3 means. A supplier who cannot explain series, bore size, seal type and clearance suffix in plain language is forwarding your order to someone else.

2. Which clearance class should this application use, and why? The right answer starts with questions back to you about speed, temperature, load, and mounting fits. A supplier who instantly says the tightest clearance is best has told you they do not understand clearance.

3. What grease will be used, and at what fill percentage? A precise answer names the grease type, its temperature range, and a fill percentage. Grease fill is a common silent cost reduction — around 28-32% of free space is a proper working fill, while economy production is often filled to 15-20%.

4. What tolerance class will you supply? If the answer is 'standard', ask whether that means ISO Normal (P0) or P6. Both are legitimate; not knowing the difference is not.

5. For a dusty, unpaved-road application, 2RS or ZZ? A supplier with market experience will explain why rubber seals usually protect better than metal shields against dust and water ingress, and will ask what the machine actually does.

6. What happens to internal clearance after an interference fit and thermal expansion? The correct answer is that operating clearance is reduced, which is exactly why a bearing that feels perfectly tight on the bench can run too tight in service.

7. If my purchase order says C4 and the application looks wrong for C4, what will you do? The answer you want is that they will flag it in writing and ask you to reconfirm with the end customer before production. A supplier who says they simply build whatever the order says is transferring all specification risk to you.

8. What exactly will be recorded in the inspection report for my batch? Look for named measurements and a sample size, not the word 'full inspection'.

4. A trial-order protocol that limits your downside:

Never let your first order be your bulk order. A trial exists to test the supplier, not only the bearing, and the structure below keeps the cost of being wrong small.

Start small and mixed. FULI's trial threshold is 50 pieces minimum per model, and up to four models can be mixed to reach a 200-piece total order. Regular orders run at 500 pieces per model. A mixed trial is more informative than a single-model trial, because it tests whether the supplier can hold specification across several items at once.

Include one model you know intimately. Choose a bearing your own workshop or best customer replaces constantly. You will detect a problem far faster on a familiar part than on a new one.

Ask for the documentation package with the trial, not after it. If inspection reports and material certificates only appear when you push for them at bulk-order stage, you have learned something valuable at low cost.

Confirm dispatch timing in writing and watch whether it holds. Stock items dispatch within 24-72 hours; custom and OEM production runs 15-30 days. Sea freight to most destinations runs 25-35 days, with air freight and express in the 5-7 day range. A supplier who quietly misses the trial timeline will not improve at ten times the volume.

Separate sales responsiveness from shipping speed. How quickly someone answers an enquiry — model identification within a couple of hours, for example — is a service commitment. It is not the same thing as how fast goods leave the warehouse. Suppliers who blur the two in a quotation may blur other commitments too.

5. What to measure when the trial order arrives:

Open the cartons with a caliper and a plan, not with hope.

1. Bore, outer diameter and width on a sample from different cartons, not just the top one. You are testing consistency, not the best piece.

2. Markings. Model number, clearance suffix and any branding should be crisp and match the order exactly. Compare pieces against each other.

3. Rotation feel. Turn every sampled bearing by hand. Look for grittiness, catching, and — critically — variation between pieces from the same batch. Variation is the real signal.

4. Grease. Open one sealed bearing and look at the actual quantity and condition. This is the specification that is easiest to shortchange and hardest to see through a seal.

5. Seals. Check that the seal material is uniform, seated properly, and undamaged.

6. Rust and packaging condition. Rust or oil breakdown on arrival suggests a preservation or storage problem that will be worse on a full container.

7. Documentation match. Do the certificates and inspection report actually correspond to the batch you received, or to some other production run?

Then, if you can, put a set into real service and track it. Field results beat every certificate in the folder.

6. Payment structure: what actually protects you:

Payment terms are a risk instrument, not just an administrative detail. Common structures and what each one does for you:

T/T with a split deposit. A 30% deposit with 70% before shipment is the standard structure. Its value is that the majority of the money moves after production and after you can require pre-shipment inspection evidence. Insist that the balance trigger is tied to inspection documentation, not merely to a calendar date.

Small-value methods for genuine samples. PayPal or Western Union are practical for orders under about USD 500. Keeping the first transaction small also means an unresponsive supplier costs you very little to walk away from.

Letter of credit for larger orders. For orders above roughly USD 10,000, an L/C moves the risk into a documentary framework where the bank releases funds against specified documents. It costs more and takes more paperwork, and for a first large order with a new counterparty it is often worth both.

Verify the beneficiary account against the contract party. Pay the company you signed with, at the account named on the documents. Confirm any change of bank details through a separate channel — a phone call to a known number, never a reply to the email that requested the change.

7. Red flags that should stop the order:

1. Every answer is yes. A supplier who agrees to every specification, every deadline and every price without a single clarifying question is either not reading your order or planning to renegotiate later.

2. A price far below everyone else for the 'same' bearing. It is not the same bearing. Find out which variable was changed — steel, grease fill, clearance control, tolerance class or inspection — and decide whether you can live with it.

3. The certificate belongs to someone else. A partner plant's certification presented as their own, or a certificate with no verifiable number and scope.

4. No written specification confirmation. Everything agreed verbally or across scattered chat messages, with no consolidated document before production.

5. The bank account name does not match the contract party.

6. Inspection reports with no measurements. A signature and a stamp are not data.

7. Reluctance to identify the producing plant or the production location. You do not need commercial secrets, but you do need to know where your bearings are made.

8. Sudden pressure to skip the trial order. Volume urgency is a sales technique. Your trial protocol exists for exactly this moment.

8. Put the critical specification in writing before production:

A documented FULI order case makes this point better than any argument. A Singapore OEM purchase order specified C4 clearance on cylindrical roller bearings. The clearance looked unusually large for the application, the concern was raised with the buyer in writing before production, and the instruction was to build to the purchase order. The bearings were produced and inspected strictly to C4. The end customer then rejected the shipment during inspection for excessive play and claimed compensation for lost working time.

The written record settled who had been told what, and the relationship survived. The lesson runs in both directions: a supplier should challenge an unusual specification, and a buyer should reconfirm critical specifications with the person who actually owns the technical decision — not the person who copied the model number from an old order.

Before production, consolidate into one document: model with all suffixes, clearance class, seal type, steel grade, grease type and fill percentage, tolerance class, packaging and branding, certificates required, inspection scope and sample size, quantity, incoterm, dispatch date, and acceptance criteria. Then have the supplier confirm it in writing. This single page prevents more losses than any other step in this guide.

9. A simple supplier scorecard:

Score each supplier from 1 to 5 and weight the results. The weights reflect what actually goes wrong in bearing orders.

1. Technical answers to the eight questions — weight 25%. The strongest single predictor of whether your specification will survive production.

2. Quality documentation with real measured values — weight 20%. Inspection reports and traceable material certificates.

3. Trial-order result, including consistency between pieces — weight 20%. Physical evidence outranks every claim.

4. Transparency about what they are and are not — weight 15%. Factory, trader or export and QC partner, stated plainly.

5. Communication discipline — weight 10%. Written confirmations, consistent commitments, proactive flagging of problems.

6. Commercial terms and cash-cycle fit — weight 10%. MOQ, payment structure, dispatch timing and incoterm as they apply to your business, not in the abstract.

Note what is not on this list: the polish of the website, the size of the catalogue, and the warmth of the sales conversation. None of them predict whether the bearings in your container will match the specification on your order.

Bottom line:

Vetting a Chinese bearing supplier is not a matter of trust or instinct. It is six concrete steps: identify what kind of company they are, request documents and understand their limits, ask technical questions a reseller cannot answer, run a small mixed trial and measure it, structure payment so your exposure stays bounded, and put every critical specification in writing before production.

The best signal you will get is not a certificate. It is whether the supplier asks you about speed, temperature, load, mounting fits and end-use inspection standards before quoting a price — and whether they tell you what they cannot do. A supplier willing to say 'we are not a factory' or 'that clearance is wrong for your application' is showing you exactly how they will behave when something goes wrong.
